Running Bingo Nights
Purpose
Section titled “Purpose”Deliver a friendly, well-run bingo night that is safe, compliant, and enjoyable for attendees.
Required materials
Section titled “Required materials”- Bingo books and spare sheets
- Pens or dabbers
- Float and cash tin
- Microphone and sound check completed
- Prize list and display table
- Attendance sheet
Setup (60 minutes before doors)
Section titled “Setup (60 minutes before doors)”- Open hall, switch on lights, heating, and main sound system.
- Set up registration desk, card sales area, and tea station.
- Confirm float amount with Treasurer guidance and log opening cash.
- Prepare caller station with microphone and numbered ball check.
- Brief volunteers on doors, sales, floor support, and cleanup roles.
During event
Section titled “During event”- Open doors 30 minutes before first call.
- Record card sales and maintain visible queue support.
- Announce each round clearly and repeat winning-number checks.
- Log prizes distributed and any incidents in the event log.
Close-down
Section titled “Close-down”- Count cash with two volunteers present.
- Complete end-of-night reconciliation sheet and store securely.
- Tidy hall, stack chairs, and reset tables for next bookings.
- Lock up shared equipment and switch off lights and audio.
Troubleshooting and escalation
Section titled “Troubleshooting and escalation”- Technical issue with audio: switch to backup microphone and notify Facilities Lead.
- Dispute over winning line/full house: pause game and ask Club Liaison for ruling support.
- Safeguarding concern: follow safeguarding protocol and inform Chair immediately.
